How to import learners into Engage

✨ Updated feature alert

This feature update is available from Thursday, 5th November 2026.

Overview

Admins can import learners directly from Onefile Eportfolio into Engage. This allows Centres to quickly populate Engage with existing learners without manually recreating their accounts.

Learners can now also be created in Engage automatically. See Automatically Create Learners in Engage from Onefile Eportfolio.

What's Changed?

BeforeFrom 5 November 2026
The import list showed all learners. The import list leaves out learners on learning aims excluded from Engage, and learners who have already been imported.
Learners could only be added by importing them.Learners can also be created automatically when their learning aims are saved in Onefile Eportfolio.

User Roles

This feature can be used by:

  • Admin

Steps to Import Learners if you wish to complete this manually:

  1. Click Learners in the navigation menu.
  2. Click Import Learners.
  3. Select the learners you wish to import from Onefile Eportfolio.
  4. Click Import Learners.

The selected learners will now begin processing and importing into Engage.

Processing Time

The time required depends on the number of learners selected. Engage imports approximately 50 learner accounts per hour.

Important Information

  • If the assessor linked to the learners in Onefile Eportfolio does not exist in Engage, the import process will automatically create the assessor as a new Engage user and generate a new Keychain account for them.
  • Learners must already exist in Onefile Eportfolio to be imported.
  • Learners on learning aims with Create Learners in Engage unticked don't appear in the import list.

Tips & Notes

  • Imports run in the background, so you can continue using Engage while the process completes.
  • If a learner is missing from the list, check that they are active in Onefile Eportfolio, have a valid email address, haven't already been imported, and aren't on a learning aim excluded from Engage.
