On Thursday, we're updating OneFile Enrol, RPL and Engage, to introduce some new enhancements and fixes.

• Archiving: Keep Your Workspace Organised

  Say goodbye to clutter! You can now archive (and unarchive) learner records and forms in the Review Forms area. This feature lets you clear out irrelevant records and forms from your main view, making it easier to focus on what truly matters.

  Don't worry—archived records aren't gone forever. They're safely stored as part of your historical data, ready to be retrieved whenever needed. Stay organised, stay efficient, and take control of your workspace!

• Simplified Phone Number Requirement

  We've simplified the process of marking a record as Complete! In the past, you had to fill in both phone number fields, which could be inconvenient. Now, as long as all other information is in place, you only need to provide one phone number to update the record status to complete. This improvement makes the experience smoother and more user-friendly!

• Create Your Own Skills Scan Questions!

  Exciting news! You now have the chance to craft your own skills scan questions! If the typical job role questions don't quite hit the mark, or if you want to customise them to match a specific apprenticeship standard more closely, this new feature offers you the flexibility to do just that. It's all about making it work for you!

Templates Tab
This will allow admin users to create a template.  Select the type of template to create. (This will depend on the options selected in the integration hub).

•  Create a Template

  
  

  

  • Template Name:              Meaningful Name for the template

  • Metric Group                  Drop down list of metric groups defined

  • Metric                             List of metrics that are available for the selected group.  (select one or more)

  • Risk Level                        Dropdown risk level for each metric selected

  • Subject                            (Email Only)  Subject of the Email

  • Body                               Message sent

  • Mail Merge Fields     These are mail merge fields that can be added to the templates.

•  Active  Tab

  This shows a list of scheduled templates. 

  To schedule a template, select “Schedule” from the kebab menu

  Schedule Options :-  select the day(s) and the time 

  • Daily                       

  • Weekly                   

  • Fortnightly

  • Monthly

• Enquiry Transfer Errors

  We're excited to share that we've resolved an issue where extra spaces in pre-filled fields were causing trouble when transferring enquiries to learner records. With this fix, you can now edit records smoothly after the transfer!

• PDF Export Formatting

  Good news! We have resolved the issue whereby exported PDFs lacked line breaks, ensuring that all forms display correctly with the appropriate formatting.

• Learner and Employer Count Accuracy

  We've resolved a little hiccup where the number of learners and employers linked to a course was sometimes shown incorrectly. We're happy to inform you that the counts are now accurate and dependable!
