Overview
Magic links allow Assessors to send a secure, time‑limited link to employers so they can sign a learner’s review without logging into Onefile. This is useful when employers do not frequently access the system.
Centre Settings
The following settings must be enabled for magic links to work:
- Allow Magic Links for employer signatures
- Expiry duration (e.g., 24 hours, 7 days)
Who Can Use This Feature?
- Assessor
- Trainee Assessor
Centre Managers can also share magic links once a review has been started.
Steps to Send a Magic Link to an Employer
Step 1: Log In
- Log into your Assessor or Trainee Assessor account.
Step 2: Create the Review
- Create a new review for the learner.
Step 3: Share the Review
- Under Declarations, click Share review.
- Select one of the following:
- Share with an existing Employer
- Share using an email address
- Click Continue.
Step 4: Choose the Employer
- Select the employer from the list or enter their email address.
- Click Share Review.
- Click Close.
Important Notes
- The employer must have a verified email address in Onefile for their name to appear in the list.
- The learner must have a Default Employer assigned via the Access Accounts tab.
- Centre Managers can also share the magic link after the review has been created by an assessor.
✅ Tip: Ask learners to confirm their Default Employer is correct before starting the review to avoid delays in signing.
