Overview
If a learner in Onefile Eportfolio has not been automatically matched to a learner in Cognassist, Centre staff can manually create the learner directly from the Cognassist page. This process also sends an assessment invitation to the learner.
How to Create a Cognassist Learner
When viewing the learner’s Cognassist page, if the learner is not yet matched, you will see the option: Create Learner and Send Assessment Invite.
Clicking this button will:
- Create the learner record in Cognassist
- Automatically send the learner an assessment invitation email
What Information Is Transferred?
The learner details already stored in Onefile Eportfolio are displayed on the Cognassist page and transferred automatically during creation, except:
- Programme Level – must be selected manually
- End Date – must be selected manually
Tutor Requirements
During creation, Onefile sends the email address of the learner’s primary tutor to Cognassist. For the creation to succeed:
- The tutor must already exist in Cognassist
- The tutor's email address in Onefile must match the email stored in Cognassist
If Cognassist does not recognise the tutor’s email address, a warning message will appear.
Troubleshooting
If you receive an error when creating a learner, check the following:
- The learner’s Email Address is correct
- The learner’s Date of Birth is correct
- The learner’s Postcode is complete and valid
Tips & Notes
- Ensure Programme Level and End Date are selected before attempting to create the learner.
- Check tutor email alignment between Onefile and Cognassist to avoid creation failures.
- Matched learners will show their Cognassist assessment data immediately in their portfolio.
