On Thursday, 18th June 2026, we’ll be rolling out a series of improvements to Enrol Onboarding.

Creating a new form whilst retaining data from the old form

Overview

When you need to update a form, you can create a new version using the import/export feature. This allows you to make changes while keeping the previous form version available if you still need access to learner data.

Who Can Use This Feature?

  • Design and Assign Forms

Centre Settings

No additional settings are required to create new versions of forms.


Steps to Create a New Version of a Form

Step 1: Export and Import the Form

Step 2: Identify the Newly Imported Form

  • The new version will appear as unpublished.
  • You can identify it by checking the Date Created column.

Step 3: Edit and Publish the Updated Form

  • Make any required changes to the newly imported form.
  • Publish the updated form when ready.
  • Assign it to learners as needed.

Retaining Data from the Old Version

  • If you want to keep the data from the previous form version:
    • Unassign the old form from learners.
    • Ensure the old form remains published so historical data is preserved.

✅ Tip: Include a version number in your form titles to easily identify the most up‑to‑date form and avoid assigning outdated versions.
