Overview
If you are unable to create learners in Onefile Eportfolio from PicsWeb, the most common cause is duplicate Assessor accounts that share the same MIS Value. This includes both active and archived Assessor accounts.

- Centre Manager
Why This Happens
PICSWeb requires a unique Assessor MIS Value to correctly map assessors when creating learners in Onefile Eportfolio. If multiple assessors share the same MIS Value — even if one is archived — PICSWeb cannot determine which Assessor record to attach to the learner, causing the creation process to fail.
Steps
How to Check for Duplicate MIS Values
- Log in as a Centre Manager.
- Click Users in the navigation bar.
- Click Assessors.
- From the Archived users dropdown, select Include archived users.
- Click an assessor’s Account tab.
Here you will see each assessor’s MIS Value. Check for any duplicated values across active and archived accounts.
If You Cannot Locate a Duplicate
If you have checked all active and archived assessor accounts and cannot find a duplicate MIS Value, please contact Onefile Support for further investigation.
Include in your support query:
- Learner name
- Assessor name
Tips & Notes
- Every Assessor must have a unique MIS Value to avoid sync failures.
- Archived Assessor accounts still impact the integration if MIS values are duplicated.
- Correcting or removing duplicate MIS values typically resolves learner‑creation issues instantly.
Terminology
Terminology used in this article may differ depending on your Centre’s setup or MIS configuration.
