How do I find out if a Learner portfolio has been deleted?

Overview

The Activity Log report keeps a full record of system deletions, including deleted learner portfolios. Centre Managers can use this report to see when a portfolio was deleted, who deleted it, and which learner the deletion relates to.

Steps

How to Check if a Learner Portfolio Has Been Deleted

  1. Click Reports in the navigation bar.
  2. Scroll to the Centre Reports section.
  3. Click Activity Log.
  4. Change the Activity Category to Deletions.
  5. Set the required Date Range.
  6. Click Submit.

The report will display:

  • The user who deleted (flagged) the learner portfolio
  • The learner’s name
  • The learner’s Onefile User ID

Tips & Notes

  • Use date filters to narrow down the timeframe if you know when deletion may have happened.
  • The Activity Log is the only place where deletion events are recorded for audit purposes.
  • Deletion entries cannot be removed and remain visible for compliance and tracking.
