Create a new Learner portfolio

Overview

This guide explains how to create a new learner portfolio in Onefile. Depending on your role, you may access this feature from different areas of the system. Creating the learner account correctly ensures that assessors, learning aims, and templates are applied from the start.

Who Can Use This Feature?

  • Centre Manager
  • User Manager
  • Internal Quality Assurer (IQA) with permission
  • Assessor with permission

Permissions

  • Manage learner accounts

Centre Settings

No additional centre settings are required to create a learner portfolio.


Steps to Create a Learner Portfolio

Option 1: Centre Manager / User Manager

  • Click Users in the navigation menu.
  • Select the Learner tab.
  • Click Create Learner.
  • Enter the learner’s details.
    • First Name and Last Name are mandatory.
    • Entering an Email Address is strongly recommended.
  • Select the learner’s:
    • Default Assessor
    • Placement
    • Class
    • Provider
    • Framework Template (if appropriate)
  • Click Create.

Option 2: Assessor / IQA (with Manage Learners Permission)

  • Scroll down your homepage to Learner Dashboard.
  • Click Manage Learners.
  • Click Create Learner.
  • Enter the learner’s details:
    • First Name and Last Name are mandatory.
    • Adding an Email Address is strongly recommended.
  • Select the learner’s:
    • Default Assessor
    • Placement
    • Class
    • Provider
    • Framework Template (if applicable)
  • Click Create.

What Happens Next?

  • The learner will automatically receive an email with:
    • A link to create a password for their new Keychain, or
    • A confirmation that the account has been linked to an existing Keychain

✅ Tip: Always double‑check the learner’s email address before saving to avoid login delays.
