Suspending Learner access

Overview

Suspending a learner restricts their access to Onefile Eportfolio. This may be useful for safeguarding reasons, periods of inactivity, or internal administrative processes.

User Roles

This feature can be used by the following user roles:

  • Centre Manager
  • User Manager
  • Internal Quality Assurer (with permission)
  • Assessor (with permission)

Permissions

  • Can manage learner accounts

Steps

How to Suspend Learner Access

  1. Navigate to the learner’s account page.
  2. Tick the checkbox labelled Suspend user access.
  3. Enter a reason for suspension.
    This is visible to any staff member with access to the learner record and ensures clarity on why the suspension was applied.
  4. Click Save.

Tips & Notes

  • A suspended learner cannot log in until suspension is removed.
  • The reason entered helps maintain an audit trail for Centre staff.
  • Suspension does not archive the learner or release a licence seat — it simply restricts login.
