Deleting a Learner Portfolio

Overview

This feature allows authorised users to delete a learner’s portfolio. Deleting a portfolio permanently removes the learner from the system once the deletion is processed, so it’s important to check whether any data needs to be retained first.

Who Can Use This Feature?

  • Centre Manager
  • User Manager
  • Internal Quality Assurer (with permission)
  • Assessor (with permission)

Permissions

  • Manage learner accounts

Centre Settings

No additional centre settings are required to delete a learner portfolio.


Steps to Delete a Learner Portfolio

Step 1: Navigate to the Learner’s Account

  • Open the learner’s portfolio or account homepage.

Step 2: Delete the Portfolio

  • Scroll to the bottom of the page.
  • Click Delete.
  • The portfolio will be flagged for deletion.

Important: The Delete button will not appear if at least one assessment has been signed. In this case, the deletion status will be displayed in the Account Status section of the learner’s homepage.


Learner Data

Before deleting a portfolio, ensure there is no data you need to keep, including:

  • Uploaded evidence
  • Journal or timesheet entries
  • Reviews

Once deleted, this information cannot be recovered.


Deletion Flag

  • The deletion flag can be removed at any point before the deletion is processed.

✅ Tip: If you're unsure whether a portfolio should be deleted, archive it instead until you confirm.
