Multi-factor Authentication (MFA)

Overview

Onefile customers can use Multi‑factor Authentication (MFA) to add an extra layer of security to all user accounts. MFA can be enabled at a user level, improving login protection across your organisation.

To enable MFA for your organisation, please contact your Onefile Account Manager.

Who Can Use This Feature?

MFA is available to all Onefile users once enabled by the centre’s Account Manager.

Centre Settings

MFA can be switched on at a customer level. Once enabled, it applies to all centres under that customer profile.

What Is MFA?

MFA (Multi‑factor Authentication) is a security method that requires users to verify their identity using two or more factors. These may include:

  • Something you know: your password
  • Something you have: your phone or security token

How to Log In Using MFA

Once MFA has been enabled, users can follow these steps to log in:

Step 1: Visit the Login Page

  • Go to https://login.onefile.co.uk/

Step 2: Enter Login Details

  • Enter your Keychain email address and password.

Step 3: Install an Authenticator App

  • Install an authentication app such as Google Authenticator or Microsoft Authenticator on your mobile device.

Step 4: Scan the QR Code

  • Scan the QR code displayed on screen using your authenticator app.

Step 5: Enter the Code

  • Enter the 6‑digit code generated by your authenticator app.
  • Click Continue.

If you are unable to see Continue, try zooming out on your web browser.


Unable to Scan the QR Code or Don’t Have a Mobile Device?

No problem! You can receive your access code by email.

  • Click Having trouble scanning the QR code?
  • Select the option to send the code to your email.

Important: Once you choose email MFA, the QR code will no longer be shown.

MFA strengthens account security by significantly reducing the risk of unauthorised access.

If you later decide to register a mobile device, you must reset your MFA credentials.


Who Is MFA Available For?

  • MFA is available to all users
  • Once enabled for a customer, MFA applies across all their centres.

Supported Authenticator Apps

You can use any authenticator app, including:

  • Google Authenticator
  • Microsoft Authenticator
  • Authy
  • Any TOTP‑compatible app

How to Reset MFA Credentials

  • Log into your Keychain.
  • Go to Login Settings.
  • Select Reset authentication.

You will be prompted to re‑register MFA the next time you sign in.


How to Register a New Mobile Device

  • First reset your MFA credentials using the steps above.
  • Next time you log in, you will be guided through the MFA setup process again.

✅ Tip: If a user loses or replaces their phone, remind them to reset their MFA credentials before attempting to log in.
