Overview
Centre Managers, User Managers, and certain roles with permissions can update a learner’s Unique Learner Number (ULN) or National Insurance Number (NINO) in Onefile.
Who Can Use This Feature?
This feature can be used by the following user roles:
- Centre Manager
- User Manager
- Internal Quality Assurer (with permission)
- Trainee Internal Quality Assurer (with permission)
- Assessor (with permission)
- Trainee Assessor (with permission)
Permissions Required
- Manage learner accounts
Steps to Update ULN/NINO
Centre Manager / User Manager
Click Users in the left-hand navigation menu.
Click Learners.
Search for the learner.
Click Episode.
Add ULN/NINO in the relevant fields.
Click Save.
Assessor / Internal Verifier
Navigate to the Learner’s Account.
Click Episode.
Add ULN/NINO in the relevant fields.
Click Save.
ℹ️Important Notes
- Ensure permissions are correctly assigned before attempting updates.
Troubleshooting
| Issue | Solution |
|---|---|
| Cannot edit ULN/NINO | Check if you have the “Manage learner accounts” permission. |
| Changes not saving | Verify mandatory fields are completed and click Save again. |
